AI Notetaker with a Built-in CRM: What to Look For
Most AI notetakers push notes into a CRM you already run. A few include the CRM itself. Here is what to check, and which tools do which.
Two different ideas
A notetaker that syncs to your CRM records the call and writes notes or fields into HubSpot, Salesforce or Zoho. A notetaker with a built-in CRM files the call into a CRM that ships with the product, so there is nothing to connect. The first suits teams already committed to a CRM. The second suits teams without one, or tired of paying for both.
What to check
Which fields get filled, and how many. Some tools cap CRM autofill at a number of fields below their top tier.
Which tier includes CRM sync. It is often gated above the entry plan.
Whether a person approves changes. Automatic writes to a CRM should be reviewable.
What happens when your CRM changes. A built-in CRM avoids a sync that can drift.
Which calls it captures. Meeting platforms, phone and chat are not the same thing.

| Otter | Individuals and teams who mainly need transcripts | Salesforce and HubSpot sync from Pro with user limits; sync for up to 5 users on Business; unlimited users on Enterprise | None listed on the pricing page | Free Basic, then Pro and Business per user per month; Enterprise by quote | CRM sync is limited by user count below Enterprise |
Among the vendors we checked, ClioIQ's plans are the ones that list a built-in CRM (Clio CRM, from the Starter plan). The others' pricing pages describe syncing or autofilling into a CRM you already run.
Where ClioIQ is not the right fit. ClioIQ's notetaker joins scheduled Zoom, Google Meet and Microsoft Teams calls. Phone calls are in early access, and walk-ins or calls made from a rep's personal number are not captured. If your team sells mostly by phone, weigh that before a trial.
