Security and data handling

A plain account of how ClioIQ records calls, where the data lives, who can see it and how it is deleted. Every statement here is also made elsewhere on this site, in the FAQ, the Zoom documentation, the product pages or the pricing page.

Recording and consent

Every call shows a recording indicator to all participants before capture starts. Consent is not assumed. On Zoom, the ClioIQ Notetaker joins as a visible participant and Zoom displays its recording indicator, and every call opens with a spoken recording notice.

On phone calls, every caller first hears a recording notice, and recording starts only when someone on your team answers. You remain responsible for having the consent that the law requires from the people on your calls.

See the FAQ answers on recording consent and the Zoom documentation.

Where call data is stored, and for how long

Call recordings, transcripts and CRM data are encrypted at rest and in transit, with access restricted to authorized personnel. Recordings and transcripts are kept for as long as your account is active, and your organization can request deletion at any time. For captured phone calls, recordings are stored in the United States.

Full detail is in our privacy policy.

Who can see it

Access to call data is restricted to authorized personnel. Within your workspace, role-based access is included on the Business and Enterprise plans; see pricing for what each plan includes.

Changes to your CRM

When Clio AI proposes a CRM update, you see the exact fields and values before anything is written. Every sync with HubSpot, Salesforce or Zoho is logged, so a changed record can be traced back to the call or action behind it.

Deleting recordings

Your organization can request deletion of its data at any time. For phone call capture, a rep can delete a call they took, and an admin can delete every captured call at once; the recording, transcript and notes go with it. Switching phone capture off stops new calls being recorded, and calls already captured stay in your workspace until your organization deletes them or the retention period your admin set ends.

What we do not do with your data

Call content is never used to train models shared across other customers.

Permissions for connected tools

Zoom: ClioIQ requests the minimum scopes it needs (viewing your user information and token, so the notetaker can join meetings you are authorized to attend) and does not request meeting-recording management or admin scopes.

HubSpot: a Private App token that you scope to Contacts, Companies and Deals. Salesforce: a Connected App using OAuth 2.0. Zoho CRM: OAuth through the Zoho API console.

Service providers

Phone call capture, which is in early access, runs on an Indian business number provided through our telephony provider, Plivo.
